Missed and Late-Cancellation Policy for Private Dental Appointments

At our practice, we are committed to providing high-quality dental care and ensuring appointment availability for all patients. To help us achieve this, we have a policy regarding missed private appointments and appointments cancelled without adequate notice.

Notice Period for Cancellations

If you need to cancel or reschedule a private dental appointment, we require at least 24 hours’ notice.

This notice period allows us to offer the appointment time to another patient in need of care.

Missed or Late-Cancelled Appointments

A missed appointment is when a patient does not attend their scheduled appointment and has not notified the practice.

A late-cancelled appointment is when a patient cancels or reschedules with less than 24 hours’ notice.

In both cases, the practice reserves the right to apply a charge / keep deposit.

Appointment Fee

For private appointments that are missed or late cancelled, a fee will be charged at the rate of:

£150 per hour

The charge will be based on the length of the appointment reserved.

For example:

  • 30-minute appointment: £75

  • 45-minute appointment: £112.50

  • 1-hour appointment: £150

Longer appointments will be charged proportionally.

How Charges Are Applied

The fee must be paid before further appointments can be booked.

Repeated late cancellations or missed appointments may result in restricted booking options or refusal of future private appointments.

Exceptional Circumstances

We understand that unavoidable situations can arise. If you believe there were exceptional circumstances that prevented you from attending or cancelling within the required time, please contact the practice as soon as possible. Decisions will be made at the discretion of the practice manager.

Acknowledgement

By booking a private appointment with us, patients agree to the terms of this policy.
